It is not a design document and it is not a sales brochure: it is how to specify a resin floor so quotes compare, and an owner can check it clause by clause.

The sections follow the order of the work: scope, substrate, system, details, programme, testing, warranty. Each one carries numbers rather than adjectives, because a number can be verified at handover and an adjective cannot.

This article walks through the seven sections, what belongs in each, and the clauses that stop a bid from drifting away from the scope of works.

How to use the template

Start with the area schedule and the hygiene zones, then fill the sections in order. Writing the system before the substrate is a common mistake, and it produces a specification that cannot be built.

A floor specification checklist should be one page per zone, not one page for the building. Zones differ in exposure, and a single page forces compromises that end up as variations.

A tender schedule that goes to tender without a warranty terms section invites bids that exclude the warranty, and the cheapest bid is then cheap for a reason. Put the warranty in the document before anyone prices it.

Keep the wording plain. Clauses that can be read two ways will be read the cheaper way, and the argument happens after the floor is down.

Write it once for the plant and reuse it. The second project is where the template earns its keep: the numbers change, the clauses do not, and the review takes an afternoon instead of a month.

The template is deliberately short. A forty-page document is not read on site, and the four numbers that matter are usually buried by page ten.

Table 1: The seven sections and the number each one must contain.

Section

Number required

1 Scope and areas

m² by zone, linear m of cove

2 Substrate

Moisture reading, profile, repairs

3 System

Thickness in mm, aggregate g/m²

4 Details

Cove height, collar and kerb counts

5 Programme

Phases, cure milestones

6 Testing

Tests, sampling rate, retention

7 Warranty

Years, coverage, response time

Section 1: scope and area schedule

The scope names what is included and, just as importantly, what is not. Removal of an existing floor, protection of equipment and disposal are the three items most often assumed rather than stated.

The tender schedule should also require the moisture readings to be submitted with the bid rather than gathered after award. A bidder who has measured the slab prices the preparation, and a bidder who has not prices an assumption.

Measure by zone and give the linear metres of cove, the number of drain collars and the number of kerbs. Those four quantities turn a rate into a price and a price into a comparison.

Attach a drawing with the zones marked. A flooring specification template without a drawing produces bids priced on the description, and descriptions are always shorter than buildings.

Where the work is phased, put the phase boundaries on the same drawing. It is the only reliable way to compare a scope of works that will be built in four visits.

Section 2: substrate and preparation

This section carries the moisture reading, the profile target and the repair scope. Without the reading, each bidder assumes a dry slab and the price difference appears at the first primer delivery.

Substrate preparation should be described by method and outcome: shot blasting to CSP 3, or diamond grinding with a defined scratch pattern, plus the acceptance check the contractor has to pass.

Substrate preparation is the section that most often gets shortened to one line, and it is the one the floor depends on. Describe the method, the profile and the acceptance check, then let the contractor price the passes they expect to make.

Repairs belong here too. Cracks, spalls and old anchor plates are quantities, and a flooring specification template that leaves them as an allowance invites the cheapest interpretation.

One practical rule keeps this section honest: if a number cannot be measured at handover, it is not a requirement. Crack widths, groove depth and surface regularity all pass that test; descriptions of workmanship do not.

Where the slab is unknown, make the survey a deliverable of the contract rather than a note. A floor specification checklist that requires the contractor to test and report before ordering material removes most of the moisture risk.

Section 3: system build-up and materials

Write the build-up as a sequence with a thickness against each coat, and name the aggregate rate. A resin system datasheet should be required for the proposed system, not for the family in general.

Each resin system datasheet should be submitted with the bid, not after award. The sheet is where the pot life, the cure time and the moisture limit live, and those three numbers are what the programme and the substrate section depend on.

The datasheet requirement matters because it moves the claim from the sales conversation to a document. Ask for the moisture limit, the pot life, the walk-on time and the full chemical cure time.

Where a proprietary product is named, add “or equivalent approved” and state the criteria for equivalence. Otherwise the scope of works becomes a single-source negotiation.

Where two systems are close on performance, the template should say which one wins and why. A document that leaves the choice open produces bids for different floors, and the cheaper one is usually the thinner one.

Sequence drawings also help. A plan that shows the drains, the coves and the kerbs in the order they will be built exposes clashes that a written description hides, and the contractor prices what they can see.

Colour and finish belong here, with a reference to the mock-up. A colour described as “mid grey” is anything from charcoal to silver, and the argument is always at handover.

Section 4: details, coving and drainage

Table 2: A details schedule that can be counted at handover.

Detail

Unit

Where recorded

Cove

Linear m by height

Drawing and schedule

Drain collar

Each

Schedule, numbered

Kerb or threshold

Each

Schedule, numbered

Penetration

Each

Marked on the plan

A floor specification checklist that counts details turns a negotiation into an arithmetic exercise. Where the count is missing, every bidder makes a different assumption and the tender schedule compares prices for different buildings. Coved skirting by linear metre and height, drain collars by number, kerbs by number, thresholds by number. A flooring specification template that describes details without counting them will receive an allowance.

Specify how a collar is formed rather than that one is required. “Formed in resin around the frame” and “sealed with sealant” produce very different floors at the same price.

The fall belongs here as well: 1:80 to 1:100 across the field, 2 percent at the immediate surround. Gradients are measurable, and measurement is what makes the floor specification checklist enforceable.

Where equipment is being reinstalled, add the plinth detail. A plinth formed before the resin is a detail; a base bolted after it is a gap that collects soil.

Section 5: programme and phasing

State the phases, the window for each and the milestones that return the area to service: walkable, loadable, washable. Those three are what production needs, and they are more useful than a single cure figure.

Where the plant cannot stop, the phasing plan is part of the scope of works rather than a contractor’s method statement. A bidder who assumes a single closure will be cheaper and wrong.

Figure 1: The programme section shows phases, windows and cure milestones. Production plans against it, so it belongs in the tender.

The programme section also carries the sequence of trades. If the drainage contractor finishes after the resin is ordered, the floor waits and the cost moves; stating the sequence removes that ambiguity from the pricing.

Include the consequence of overrun. A programme without a consequence is a hope, and the flooring specification template will be judged on the first phase that slips.

Add the plant’s own calendar: audit weeks, month-end, product launches. A programme that ignores them will be moved three times before it starts.

Section 6: testing, acceptance and handover

Name the tests, the sampling rate and the retention release. A testing regime that says “as required” is not a regime; it is a placeholder that will be settled by whoever is on site.

The testing regime and the resin system datasheet are linked: the tests should verify the numbers the datasheet promised, not a generic standard. If the sheet says 6 mm, the thickness test is checking 6 mm.

For a resin floor the core tests are pull-off adhesion, thickness, cure and slip, plus a visual acceptance against the mock-up. Four tests, sampled at a stated rate, close most disputes.

The handover pack belongs in this section: batch records, SDS, test results, maintenance instructions and the mock-up reference photographs.

Sampling locations belong in this section as a drawing rather than a note. One pull per 500 m² in a stated pattern, plus every repair and every drain collar, gives a map that can be checked against the finished floor.

Require the pack before final payment, not after. Once the retention is released, the leverage to obtain documents has gone.

Figure 2: The handover pack is a contract deliverable, not an afterthought. Tie it to the retention.

Section 7: warranty and spares

Warranty terms should name the failure modes covered, the period for each and the response time for a call-out. A warranty that covers “the system” without naming adhesion or wear is difficult to enforce.

Warranty terms also define the maintenance the warranty assumes. A floor cleaned with the wrong chemical is a dispute, not a defect, and the testing regime should include a cleaning verification at handover so the starting condition is recorded.

Distinguish between a material warranty and an installation warranty. They are usually different documents with different terms, and the flooring specification template should say which one covers which failure.

Two further details are worth spelling out. The defect period should start at acceptance rather than at application, and the clock should stop while a repair is outstanding. Without those two sentences, the period can expire before the floor has been used.

Keep a copy of every issued version. A template is a living document, and the version history is what shows which clause a bidder was answering. Issue it as a numbered revision, and record the issue date on the return form. Bidders price the revision they received, and a template that changed twice during the tender produces prices for two different floors.

Finally, issue the tender schedule with a return date and a clarification window. Bids submitted after the window are not comparable, and a short clarification period is worth more than a long tender period.

Spares matter for a plant that repairs its own floor. Record the batch number of the spares against the installed batch, or the spare will not match the floor it was bought for. Ask for a quantity of the system to be left on site, with the batch number and the shelf life recorded in the handover pack.

Substrate preparation written into the maintenance schedule is what keeps the warranty alive. A floor cleaned with an aggressive descaler loses its surface, and the sheet that says so is the difference between a claim and a conversation.

Response times should be realistic for the plant as well: a four-hour call-out is meaningless if the nearest qualified crew is a day away. Agreeing a number the supplier can meet is worth more than a short one they cannot.

Three items round out the section. What happens if another trade damages the floor during the defect period? Who pays for a call-out that turns out not to be a defect? And how is a repair matched to the original finish? Each is a sentence now and an argument later.

A maintenance schedule belongs here too, even at outline level: the cleaning chemicals allowed, the dilution, and the method for a spill that sits overnight.

Table 3: What the warranty should state, and why.

Objet

Why it matters

Failure modes covered

Makes a claim arguable

Period per mode

Adhesion and wear differ

Response time

Production cannot wait a month

Maintenance conditions

Cleaning is part of performance

Frequently asked questions

How long should a flooring specification be?

About eight pages for a single plant, plus a drawing and an area schedule. Longer documents are rarely read on site and tend to bury the numbers that decide the outcome.

What is the most important section?

Substrate and preparation, because it decides whether the system can bond. A perfect system on a poorly prepared slab fails at the bond line regardless of the chemistry.

Do I need a separate specification for each zone?

One page per zone is the practical approach. Exposures differ, and a single page forces compromises that become variations.

Should I name a manufacturer’s product?

Only with an equivalence clause and stated criteria. Naming a product without them turns the tender into a single-source negotiation.

What tests should the template require?

Pull-off adhesion, thickness, cure and slip, plus a visual acceptance against the mock-up. State the sampling rate and tie the results to the retention.

What belongs in the handover pack?

Batch records, SDS, test results, maintenance instructions and the mock-up photographs. Require it before final payment.

How should warranty terms be written?

Name the failure modes, the period for each, the response time and the maintenance conditions. Separate the material warranty from the installation warranty.

Why food plants work with Kaida Paint

Kaida Paint manufactures epoxy, polyurethane, cementitious urethane and MMA systems for food and beverage plants, and supplies them as finished systems or as OEM and private-label production for distributors. Each batch ships with a certificate of analysis and a batch record, and TDS and SDS documents are issued in the buyer’s language. We will complete the material sections of a flooring specification template for the systems we supply, including the moisture limit, the pot life and the cure milestones, so the document can go out to tender without gaps.

Send the drawings and the area schedule, and the reply is a completed section three plus the datasheets for each proposed system.

A flooring specification template is seven sections and about eight pages.
